Automating monthly insurance premium payments across 16 carrier websites
A business automation project I built for a client whose monthly premium payments took about 10 days across carrier websites and phone systems. It now runs automatically, with confirmations and audit logging.
This is the biggest business automation project I've built so far. The client pays insurance premiums to a lot of different carriers every month.
The problem
Every month, their team paid premiums carrier by carrier. Each carrier had its own website, and some only took payment over an automated phone system. The whole cycle took about 10 days. It needed several people, and it was the same work every month.
What I built
I built a custom payment automation workflow. It covers 16 carrier websites and two phone payment integrations. It goes through each payment step in the browser or on the phone line, records the confirmation, and keeps track of every transaction.
Carrier websites aren't built for automation. Some show CAPTCHAs and some ask for extra verification. So the workflow handles CAPTCHAs and verification steps, and it uses vision assisted browser automation to read pages the way a person would.
How it stays safe
When you're moving money, being careful matters more than being fast. The workflow has retry handling for when a site fails partway through, and safeguards built into each step. Every step is written to an audit log, so the team can see what was paid, when, and what confirmation came back.
It also connects to their backend payment workflows, so the records line up with what they already use.
What changed
In a monthly cycle, the system has processed more than 2,000 payments, about $1.9 million in volume. My client put it this way in his review: work that used to take multiple employees days to complete can now be handled automatically. You can read the full quote on my reviews page.
There's a short summary of the project on its project page.
Custom software for payment work in New York
If your team pays or collects money across a lot of portals, this kind of workflow automation can help. If the hard part is matching payments to invoices after they arrive, that's what RecoNexus does. I work with businesses in the Five Towns, across Long Island, and in New York City.
Is there a monthly job like this in your office that ties people up for days? Tell me how it runs now and I'll let you know what I think.
